What Is Botless Meeting Capture? How Continuum Records Client Meetings Without a Bot

Botless meeting capture records a meeting from the advisor's own device, with no bot joining the call. Here is how it works, why it matters for compliance, and how Continuum does it.

Botless meeting capture means the AI note-taker runs on the advisor’s own device and listens to the meeting’s system audio, instead of joining the call as a visible participant. Nothing appears in the attendee list. The client sees only their advisor. Continuum uses this approach for every meeting it captures.

How bot-based note-takers work

Most AI note-takers join the meeting as an extra attendee. The bot appears in Zoom, Teams or Meet under its own name, records the audio and video, uploads it to the vendor’s cloud, and produces a transcript. The client sees a third party in the room, and the recording usually lives on servers outside the advisor’s control, often outside Canada.

How botless capture works

Continuum runs as a desktop app on Windows and macOS, with mobile apps for iOS and Android. During a meeting it captures the system audio on the device and transcribes it in real time. No audio is ever recorded or saved. The meeting is streamed live to the transcription engine and only the text remains; Continuum never stores audio or video. The transcript becomes a summary, action items, an updated client profile and follow-up tasks, which can be pushed to the CRM with one click. Continuum integrates through native APIs and MCP only, including Conquest Planning.

Because capture happens on the device, it works with any platform the advisor uses: Zoom, Microsoft Teams, Google Meet, phone calls conferenced in, VoIP softphones such as Zoom Phone, RingCentral, Telus, Rogers and Dialpad, and in-person meetings through the mobile app. There are no meeting-platform APIs to connect and nothing for an administrator to enable.

Why it matters for Canadian advisors

Trust. A bot in the attendee list tells the client a third party is listening, which changes the conversation. Botless capture keeps the meeting between the advisor and the client.

Compliance. Under PIPEDA, consent has to be meaningful and documented, collection limited to what is needed, and retention limited. Continuum logs consent for every captured meeting, never records audio, and keeps data in Canada. It is SOC 2 Type II certified, hosted on Google Cloud Platform with AES-256 encryption at rest and TLS 1.2 in transit, and it is PIPEDA-compliant and CIRO-compliant.

Coverage. Most advisor-client touchpoints are short phone calls and in-person meetings, not scheduled video calls. A bot cannot join a phone call or sit at a kitchen table. Botless capture covers those conversations too.
